Job Costing Accuracy in ST

3 ways to improve job costing in ServiceTitan

Job costing sounds very simple and straightforward.

But the reality is that most shops are pulling that number from incomplete data and don't realize it until the month-end report doesn't make sense.

Here are 3 tips on how to make sure yours is actually right -

1. Close both sides of the job before you report GP.

Labor and materials. Both need to be accurate before your gross profit number means anything.

Most shops have labor calculated but vendor invoices still being entered manually by the time they pull their weekly report. That means costs are incomplete, GP is off, and decisions are being made on estimates. A job that looked like a 40% margin job might actually be a 28% one once the supply house invoice comes in.

2. Cost at the job level, not just in aggregate.

Weekly or monthly GP in total hides where you are winning and losing. Job-level costing shows you which techs are running profitable calls, which job types are bleeding margin, and whether your pricing is actually working. You cannot fix what you cannot see.

3. Let your employees verify their numbers before anything locks.

This is the one most operators skip. Before payroll runs, your techs should receive a breakdown of their jobs, their commissions, and the data behind it. If something is wrong, catch it before the money moves, not after. When employees can see and confirm their own numbers, disputes drop and trust goes up.

This is exactly how we built Volca.

Payroll automation handles the labor side. Your comp plan runs job by job, automatically, down to the split, the tier, and the role. No spreadsheet, no manual rebuild.

AP automation handles the materials side. Vendor invoices are pulled in, matched to jobs in ServiceTitan, flagged if something is off, and synced to your accounting system the same day.

And before anything is finalized, your employees receive an email report with their job data. They review it. They confirm it. Errors get caught before they are paid out.

Labor accurate. Materials accurate. Employees verified.

That is real job costing.
